Privacy Policy
Bee Winter Ltd · Last updated: 9 October 2026
1. Who we are
Bee Winter Ltd is the data controller for personal information collected through beewinter.co.uk and our direct communications. This policy explains how we handle that information under the UK GDPR and the Data Protection Act 2018.
2. Information we collect
- Contact enquiries: your name, email address, optional company or organisation, selected area of interest, message, and submission date. Please do not include sensitive personal information that is unnecessary for your enquiry.
- Direct correspondence: information you choose to send by email or post, and our replies.
- Discovery bookings: information you provide to Calendly when following our external booking link. Calendly explains its own processing in its privacy notice.
- Website operation: hosting and security services may process technical request information, such as IP address and browser details, to deliver and protect the website. Your cookie choice is stored in your browser.
The public website does not offer customer accounts, checkout, recurring subscriptions or payment collection. Any information needed for a separately agreed client engagement is requested outside these website features.
3. How and why we use information
- To answer enquiries and maintain correspondence, relying on our legitimate interest in responding to people who contact us.
- To take steps at your request before entering a contract, and to deliver services under an agreed contract.
- To operate and secure the website, relying on our legitimate interest in maintaining a safe, functioning service.
- To meet applicable legal, accounting and regulatory obligations.
Sending an enquiry does not subscribe you to a mailing list. The website currently has no newsletter signup, advertising trackers or optional analytics cookies. We would seek any required consent before introducing optional tracking or consent-based marketing.
4. Storage and sharing
Contact form submissions are saved in our website database hosted through Lovable Cloud so that we can handle your enquiry. The form currently saves the enquiry; it does not automatically send an email notification. If you email us directly, that correspondence is handled by our email service.
Our hosting, database and email providers process information needed to provide their services. If you choose to book a discovery chat, you leave this website for Calendly, whose privacy notice applies to its service.
We do not sell, rent or trade your information for marketing. We may disclose relevant information to professional advisers or authorities where necessary for advice, legal obligations or protecting legal rights.
Providers may process data outside the UK. Where restricted international transfers apply, appropriate safeguards are required under UK data protection law. Contact us for information about the arrangements relevant to your data.
5. Retention
Our retention policy is to keep enquiry records for up to two years after the enquiry is resolved, and client and transaction records for six years from the end of the relevant financial year where required for accounting or tax purposes. Records may be kept longer where necessary for a legal obligation or dispute.
These periods require record review and deletion; the website does not currently perform automatic timed deletion. You can ask us to review or delete your information using the contact details below.
6. Your rights
Depending on the circumstances, you may request access, correction, erasure, restriction of processing or data portability. You may object to processing based on legitimate interests and withdraw consent where processing relies on consent, without affecting earlier lawful processing.
Email Becky to exercise your rights. We normally respond within one calendar month; we may need to verify your identity, and will explain any lawful extension or restriction. You may complain directly to the Information Commissioner's Office (ICO) at any time.
7. Cookies and security
Read our Cookie Policy for information about browser storage and changing your preferences. We use access controls and secure connections to help protect information; no online service can guarantee absolute security.
8. Changes to this policy
We may update this policy when our website, services or legal requirements change. The update date is shown at the top of this page.
